About How Lime Bookkeeping turned payroll into their strongest retention tool

Patrick McNamara, CPB, founded Lime Bookkeeping on a simple standard: accurate payroll, every time, no exceptions. But as the firm grew, so did the cracks, and the desktop software he relied on simply couldn’t keep up.

Manual processes created constant friction. Every pay run meant printed reports, manual journal entries, and unsecure paystubs sent over email. The system had no mandatory fields, so Social Insurance Numbers (SINs), addresses, and TD1 forms got skipped, chased down at year-end, or filled with placeholder numbers. Worst of all, Patrick was doing this alone across his growing book of clients.

Every new client added more manual work to a process that was already unsustainable. There was no path to growth without something changing fundamentally.

“I was working 12-14 hours a day. I felt like I could never keep up with the workload. I was always feeling like I was falling behind, super stressed out.”

A recommendation he could trust

Patrick needed a solution that could integrate with his accounting platform, handle direct deposit, remit payroll taxes automatically, file T4s without manual intervention, and come with straightforward pricing and no add-on fees.

He heard about Wagepoint through a family member and before recommending it to a single client, Patrick put his own company on it first. Not as a test, but as a commitment. If it couldn’t handle Lime Bookkeeping’s payroll, it wasn’t going near his clients.

The results were immediate.

“I’m in love. It’s going to be for everybody. If clients want me to handle their payroll, this is the software we use. No exceptions.”

Less time, better client retention

Once Patrick moved his clients onto Wagepoint, the difference showed up immediately in his hours, in his inbox, and in his client relationships.

Up to 67% less time per pay run.

What used to take up to 45 minutes per client (Patrick’s words: “and that’s being generous”) now takes between 5 and 15 minutes. Auto-run handles salaried employees after a one-time setup. Running extra payroll used to mean an awkward conversation about extra charges. Now Patrick runs what he needs at no additional cost, and it applies to the correct pay period automatically.

Zero clicks to Xero.

Lime Bookkeeping runs on Xero. With Wagepoint, payroll reports sync to Xero automatically after every run, with no manual entries and no extra steps. At year end, reconciling T4 amounts against the wages and salaries account is fast because every transaction has a backup attached.

Remittances handled. Penalties prevented.

Wagepoint remits Canada Pension Plan (CPP), Employment Insurance (EI), Workers’ Compensation Board (WCB), and Employee Health Trust automatically based on each client’s province. The employer side is included, with no separate calculation required and no missed contributions.

“Remitting the payroll taxes automatically is going to save your clients thousands of dollars in late remitting penalties and interest.”

The inbox problem, solved.

The employee portal allows people to access their own paystubs and T4s, eliminating the constant stream of administrative requests hitting Patrick’s inbox.

“Employees would reach out to me constantly. Having an employee portal really has cut down on emails and phone calls. They can see their pay stubs, their T4s, ROEs, update their banking information, change their email and mailing address. Everything is user-friendly.”

One dashboard, two dozen clients, nothing missed.

The Wagepoint dashboard serves as Lime Bookkeeping’s central command. It provides a clear cross-check across all 24 payroll clients, showing exactly when payroll is due and when their people are getting paid.

A service clients don’t want to give up

Patrick came from banking, where the principle was simple: the more products a client has with you, the more likely they are to stay. He applies the same logic to bookkeeping. Payroll creates a regular cadence of contact: weekly or bi-weekly check-ins to confirm hours, flag changes, and stay visible.

“Not every business owner loves the administrative side of bookkeeping and payroll, that’s exactly why they hired us. It frees them up to sell their products and do what they love to do. “

Today, 98% of Lime Bookkeeping’s payroll clients use them for everything: processing, health benefits, reimbursements, WCB filings, Canada Revenue Agency (CRA) liaison work. Payroll isn’t a standalone service, it’s what holds the client relationship together.

Patrick’s advice for bookkeepers

“Treat payroll like a controlled checklist process, not a quick task that’s done in your head. Build a repeatable pre-payroll checklist and force every new change to come in writing with an effective date. Then reconcile your payroll register before you click Submit. Your old mistakes don’t just get fixed each month. They can trigger trust issues, penalties, and messy corrections. Your goal is to be boring, but consistent.

Wagepoint gives Patrick the infrastructure to be exactly that: consistent, accurate, and on time. These days, he runs Lime Bookkeeping from Calgary in the summer and Mexico in the winter, and the payroll goes out on schedule every time, no matter his area code.
